Set up WhatsApp Business
Do this once on the executive's phone. It takes about twenty minutes and it is what makes a stranger trust the number. Everything below fills in from your details above.
1 · Your profile
WhatsApp Business → three dots → Settings → tap your name at the top → Business profile.
2 · Working hours
Settings → Business profile → Business hours. These decide when the after-hours reply is sent, so set them honestly.
3 · Quick replies
Business tools → Quick replies → +. Type the message, attach the file if there is one, then set the shortcut. In a chat, type / and pick it.
4 · Labels
Business tools → Labels. Tag every chat so you can find your live leads in one tap. Make these six.
5 · Your QR code
Business tools → Short link → QR code
WhatsApp gives you a QR code that opens a chat with you. Print it and put it on the table at every stall. A customer points their camera at it and is in a chat with you in two seconds, with nothing to type.
This is separate from your short link and does not replace it. Use the QR on paper, and the short link in messages.
6 · Check it before you leave
- Message yourself from a phone that has never messaged you and confirm the greeting arrives
- Your own name is in the greeting, not somebody else's
- The page link opens and shows your photo
- Type /guide in a chat and check the PDF is attached
- Working hours are set, and the after-hours reply fires outside them
- Profile photo, description and website are all filled in
- Your QR code is printed for the table
Your WhatsApp link
Type your number once. You make this link yourself — nobody has to create anything for you.
Want it shorter, with the word already typed?
WhatsApp can give you your own short link, and you set the message that appears in the customer's box. It takes two minutes and you do it yourself.

You get a link like wa.me/message/H4XA2BCD3EFG1. On the same screen, set the pre-filled message to:
Then copy your short link and paste it into Step 1, over whatever is there. That is the cleanest link you can have in a group message.
The same screen also has your QR code. Print it for the stall table.
For QR codes and printed posters only
This long link has the words already inside it. Never put it in a message — it looks like spam. It is only for hiding behind a QR code, where nobody sees it.

Only needed for the group message and the picture.
Your messages
Tap Copy, then paste. The stars around some words make them bold in WhatsApp, so do not remove them.
Auto-reply
Set once in WhatsApp BusinessSends by itself the first time somebody messages you. Business tools → Greeting message.
After-hours reply
Set once in WhatsApp BusinessSends by itself outside your working hours. Business tools → Away message.
Apartment group message
Send with the pictureAttach the picture first, then paste this into the caption box, so it goes as one message.
The picture

Before you send
- Send the picture as a Photo, not a Document. Documents show no preview in the group.
- Put the group message in the caption of the picture, so it goes as one message instead of two.
- The auto-reply is a promise. It says you will reply soon. If you do not, it has done harm, not good.
- Never put a price in the group. Prices are on your page. In the group say: "Message me and I will give you an exact figure for your flat."
- Ask the group admin to pin your message so it stays at the top all day.
